Data Available

C&W holds many different databases that contain a range of clinical, financial, administrative and demographic data.

Standard patient-specific personal identifiers are available. Due to the sensitivity of these data, a strong rationale for the use of personal identifiers is required prior to their release.


‎Ambulatory clinic visit data is available for clinic visits at C&W, including the Pediatric Mental Health Program clinics.  The data source for this information is Cerner registration and scheduling and includes volume and appointment information.

The British Columbia Perinatal Data Registry (BCPDR) is a provincial database managed by Perinatal Services BC.  


The Registry contains data abstracted from obstetrical and neonatal health records on nearly all births in BC, including data from more than 60 hospitals and all home births attended by BC registered midwives. 

Data collected include: 

  • Obstetric and neonatal demographic information

  • Provider information 

  • Diagnoses and interventions

  • Newborn information

  • Antenatal, intrapartum and postpartum data

  • Past obstetrical history

The BCPDR data is both manually and electronically abstracted from medical charts, using standardized definitions and forms. Rigorous data quality processes are performed to ensure high quality data. 

 

BCPDR data are available for BC Women's from April 1, 2001.


Perinatal Services BC’s website provides further information and adata dictionary (XLS). 
 
Cerner is a core integrated patient management system at BC Children’s and BC Women’s that collects data to describe the entire patient care journey from arrival to discharge. Data are updated daily.

Cerner consists of several separate modules:

Registration 

This module provides detailed patient flow information including location and time stamps. Data collected includes basic registration, admission, transfer, location, discharge and patient demographics.

Data are available for BC Children's and BC Women's from June 2008. Selected data elements prior to 2008 are available from a non-Cerner data source.

Wait List

Data collected includes referral date, time, source, reason and additional information. It is the recommended method for tracking wait times for outpatient services.

Data are available for select BC Children's and BC Women's outpatient services from June 2008 or later. 

Emergency Department

Data are collected from emergency department information, such as admission, provider, diagnosis and discharge.

Data are available for BC Children’s Hospital from June 2008.  

Ambulatory Scheduling

Data collected through the Ambulatory Scheduling module include resources associated with the clinical service (treatment or exam room, specific providers, or provider types) and appointment type. The appointment length of stay is not available for outpatient encounters. 

Data are available for BC Children's and BC Women's from July 2008. 
 
The Discharge Abstract Database (DAD) is a national database managed by the Canadian Institute for Health Information.

The DAD captures administrative, clinical and demographic information on all  inpatient and day surgery hospital discharges across Canada. 

Data collected include:

  • patient demographics
  • admission and discharge dates
  • patient service
  • service transfers
  • provider information
  • diagnosis and intervention information
  • special care unit information

The DAD data is both manually and electronically abstracted from medical charts, using standardized definitions and forms. During this process, Canadian coding standards and CIHI's rigorous data quality process is applied to ensure high data quality.

 

DAD data are available for BC Children's and BC Women's from April 1, 2001.

The National Ambulatory Care Reporting System (NACRS) is a national database of hospital-based and community-based ambulatory care managed by the Canadian Institute for Health Information (CIHI). Data collected for C&W includes emergency department visits.

Data collected include: 

  • patient demographics
  • admission and discharge information
  • triage information
NACRS emergency department visit data (level 1) are available for BC Children’s from April 1, 2012. Data are available for the current fiscal year, subject to corrections until the fiscal year closes.

The surgical information captured includes information pertaining to surgical activity at BC Children's and BC Women's hospitals. 

Data is available for the number of surgeries completed and waiting cases, including metrics for volumes and wait times. 

The data source is CW Cerner and CST Cerner for dates April 30, 1999 forward.
